DOLFYN VILLAS IMPORTANT BOOKING TERMS AND HOUSE RULES Property:
Dolfyn Villas Address: 8 Dolfyn Street, Herolds Bay, George Managed by: Amot Hospitality (Pty) Ltd t/a Kingsgate Houses Collection By making a reservation and/or occupying the property, the guest acknowledges and agrees to the following booking terms and house rules. Guest Identification and Payment Verification * A valid ID document or passport of the cardholder/primary guest may be required prior to check-in for identification and payment verification purposes. * Where payment has been made by credit/debit card, the cardholder may be required to present the card used for payment, or provide reasonable verification of the transaction, before access to the property is granted. * The name of the cardholder should correspond with the booking/payment details unless prior arrangements have been approved in writing. * Check-in information and access details may be withheld until the required guest registration and payment verification have been completed. Damages and Guest Responsibility We do not routinely charge a breakage deposit; however, this does not remove the guest’s responsibility for damages, losses, or additional costs incurred during the stay. The person making the reservation accepts responsibility for the conduct of all persons included in the booking. Guests may be held responsible for reasonable costs arising from: * Damage to the property, furniture, appliances, linen, equipment or other contents. * Missing, lost or removed items. * Excessive cleaning required following departure. * Smoking or vaping inside the property. * Damage caused through negligence, misuse or failure to follow property instructions. * Call-out charges resulting from guest misuse or negligence. * Fines or penalties incurred as a direct result of the conduct of the guest or members of their party. * Loss of use of the property where substantial guest-caused damage makes the property temporarily unavailable, to the extent permitted by applicable law. Any damage or breakage must be *reported to management immediately*. Guests should not attempt repairs without prior approval. Note that rooms are accessible by stairs only. Guest Safety and Personal Property Guests use the property and its facilities with due care and at their own risk. Children and other persons requiring supervision must be appropriately supervised. Kingsgate Houses and the property owner cannot accept responsibility for loss, theft or damage to guests’ personal belongings except where liability cannot lawfully be excluded. Nothing in these terms is intended to exclude or limit any liability or consumer right that *cannot legally be excluded under South African law*.

ZERO Noise Policy Dolfyn Villas is situated in a peaceful residential environment. We operate a *strict ZERO-tolerance policy regarding excessive noise and disturbances*, particularly during evening and night-time hours. This includes: * Loud music or amplified sound. * Shouting or disruptive behaviour. * Parties, functions or gatherings. * Excessive drinking resulting in disruptive behaviour. * Any activity that unreasonably disturbs neighbours or other residents. Guests are expected to respect the peace, privacy and enjoyment of neighbouring residents at all times. No Parties, Events or Unregistered Visitors The property may only be occupied by the number of guests confirmed on the reservation. Parties, events, functions and unauthorised gatherings are strictly prohibited. Additional or unregistered overnight guests are not permitted without prior written approval from management. The property may not be used for commercial events, functions, parties, photo/video shoots or similar activities without prior written permission. Right of Admission and Serious Breaches Management reserves the right of admission, subject to applicable South African law. Serious or repeated breaches of the house rules including excessive noise, unauthorised parties, smoking, deliberate damage or threatening/disruptive behaviour may result in management taking appropriate action, which may include requiring guests to leave the property, subject to applicable law and the booking platform’s terms. Where applicable, fines, call-out charges or costs arising directly from the guest’s conduct may be charged to the responsible guest.

Pet Policy *STRICTLY NOT PET FRIENDLY.* No pets or animals are permitted at the property unless required by applicable law.

NON-SMOKING / NON-VAPING PROPERTY Dolfyn Villas is a *strictly non-smoking and non-vaping property indoors.* Smoking or vaping inside the house is prohibited. Guests may be responsible for reasonable additional cleaning, deodorising, linen replacement or other remediation costs resulting from a breach of this rule. Housekeeping Dolfyn Villas is offered as a self-catering property. Additional domestic/housekeeping services can be arranged, subject to availability, at an additional cost *from R590 per day*. Additional services must be requested in advance wherever possible and are subject to confirmation. Check-in and Check-out Unless otherwise confirmed in writing: * Check-in: From 15h00 * Check-out: By 10h00 Early check-in and late check-out cannot be guaranteed and must be approved in writing in advance. Guests must leave the property in a reasonable condition on departure and ensure that all keys, remotes and access devices are returned as instructed. Cancellation and Refund Policy Please review the cancellation terms carefully before confirming your reservation. Our property operates on a *non-refundable deposit policy*. Requests for cancellations or date changes must be submitted *in writing at least 30 days prior to the scheduled arrival date*. Where a cancellation falls outside the applicable refundable period, any refund or credit will only be considered where the cancelled dates are successfully rebooked for the same dates and at the same or equivalent rate, subject to the applicable booking terms and platform rules. Any approved refund may be subject to applicable administration, banking, card-processing or other non-recoverable transaction costs, where permitted. No refund is guaranteed for unused nights, early departures, changes in personal circumstances, transport disruptions, weather conditions or other circumstances outside the property’s control, except where required by applicable law. Guests are strongly encouraged to obtain **comprehensive travel insurance** covering cancellation, illness, emergencies, travel disruption and other unforeseen circumstances. Where a reservation is made through a third-party booking platform, the platform’s applicable cancellation and refund procedures may also apply. Acceptance of Terms By confirming the reservation, making payment and/or checking into Dolfyn Villas, the guest confirms that they have read, understood and accepted these booking terms and house rules.
